Job Description

The Executive Assistant – Culinary provides administrative support to the Vice President of Culinary Operations and Development and Executive Chef necessary for the successful operation of the Food & Beverage Division and functions as a liaison for the culinary department with overall general administrative needs.

Job Responsibilities include but are not limited to:

*Provides administrative support to assist Executive of complex details and administrative duties while coordinating and maintaining effective office procedures for efficient work flow.
*Maintains a close and responsive relationship to the day to day activities of the Executive.
*Interfaces with executive staff with a high level of confidentiality.
*Exercises discretion with integrity in the handling of confidential material.
*Prepares various spreadsheets, presentations, and general correspondence.
*Compiles and tracks reports on information relevant to special project assignments from multiple sources.
*Answers, screens, and routes executive F&B phone calls in a highly professional and timely manner.
*Receives and handles guest complaints with a high level of customer service etiquette and a sense of urgency ensuring the proper F&B director and personnel are given detailed and accurate reports of guest incidents.
*Efficiently manages Executive’s calendar and daily schedule.
*Coordinates and confirms meeting arrangements.
*Supports executive travel needs.
*Completes and processes expense reports.
*Maintains office supply inventory and places orders on demand.
*Keeps informed of all new company-wide initiatives and administrative developments by attending continuing education and training.
*Manages multiple priorities simultaneously to meet deadlines, often in stressful and high-pressure situations.
*Supports team member engagement activities.
*Performs various projects, ensures follow-up, anticipates Executive’s administrative needs, and handles other duties assigned by Executive.

Job Requirements

*5 years administrative work experience in support of C-level executive or similar; preferably in a high volume, luxury hotel/resort.
*Excellent professional verbal and written communication skills in the English language and ability to maintain professional appearance and demeanor.
*Advanced computer skills and proficiency in Microsoft office (Word, Excel, and PowerPoint).
*Must be a self-starter with the ability to work independently, prioritize workload, and manage time efficiently in a fast-paced environment.
*Highly organized with excellent attention to detail, able to multi-task and work well under high pressure situations. Must be a logical thinker and remain calm while resolving problems using good judgement.
*Must be 18 years of age or older.
*Knowledge of the Nevada Culinary Union or exposure to a union environment is a plus.
